If the event is expected to have a larger-than-normal crowd, more security must be provided. If the Client is booking a well known artist, a professional security company must be present.
Indoor Events: generally we can operate during most thunderstorms and windy conditions. We will need clear weather to load and unload. Outdoor Events: If there is rain, a proper enclosure such as a tent must be provided by the client. To load and unload during rain we must wait for breaks and it may cause a delay to the show. If there is a chance our equipment will be affected we will either have to limit production or cut the show completely. In the case of high winds production will be very limited with no truss/video wall or anything item suspended overhead. In an extreme condition like a tornado or flood, everyone must be evacuated from the production area for everyone's safety.
If the Client is intending on operating our equipment, which will be agreed upon in a separate document, they must follow our guidelines. We ask the client not to reconfigure anything or move any wires. If the Client is unfamiliar or needs assistance, it will be provided by Ben Jones Corp. We ask that only people that are qualified and familiar with the equipment to operate. We ask that any DJ keeps the gain at a reasonable level (NO clipping - keep it out of the red!) if the signal is up to high it will cause terrible distortion and severe damage to our equipment. The overall volume is controlled by the production crew. Volume changes can be requested but not guaranteed. DJ’s may bring their own equipment for use but must consult us before the day of the event.
Client understands our agreement covers the specific times given. After the contract time period has ended, the equipment will be shut off and the client must give adequate space for us to pack everything up. If an option to extend the contract was offered, change orders may be approved during the event. For example, if the event is scheduled to end at 12AM and the client approaches us with a request to extend the hours we may be able to offer an extension for additional compensation. That must be paid within 24 hours of the event and is subject to our availability.
If there is a safety concern due to excessive substance use (patrons fighting others, excessive puking, unconsciousness etc.) including alcohol and drugs, we have the right to cancel with no refund.
If there is a delay due to the Client we request notification as soon as possible. We will do our best to make adjustments and work around it. We may require an additional payment if the delay is beyond one hour. In the rare case we are delayed due to technical or logistical reasons, we will give the Client notice as soon as we are expecting a delay. If the showtime is delayed we will offer an extension to the allocated time to compensate. If that is not an option a partial refund will be assessed. In the case a delay is due to a weather event, we will be unable to extend the time and no refund will be issued.
As mentioned before, if the client cancels before the 72-hour window, a partial to full refund will be assessed to the client. In the rare event where we have to cancel, we will notify the client as soon as we can. We will offer resolutions of a full refund or possible reschedule.
Travel expenses will be assessed depending on location. Fuel mileage may be added at a rate of $0.67/mile. This will be discussed with the client prior and will appear on the invoice if required.
